We collect information you provide directly, including: personal identification data (name, email, phone number), company information, employee records, attendance data, documents you upload, and payment information. When you use AI Copilot or other AI features after giving consent, we also process the prompts you type and relevant HR context used to answer. We also automatically collect usage data such as IP addresses, browser type, device information, and usage patterns through our analytics systems.

2. How We Use Your Data

We use your data to: provide and maintain the Service, process payments and manage subscriptions, send notifications and communications related to the Service, improve and optimize the platform, ensure security and prevent fraud, comply with legal obligations, provide customer support, and (only with your explicit consent) generate AI-assisted HR insights via OpenAI. We do not sell your personal data to third parties.

3. Data Storage and Security

Your data is stored on secure servers provided by Supabase, with data centers located in the European Union. We implement industry-standard security measures including encryption at rest and in transit, regular security audits, access controls, and automated backups. Despite our best efforts, no method of transmission over the Internet is 100% secure.

4. Data Sharing

We may share your data with: the Apple App Store for in-app subscriptions on iOS; Stripe for web checkout only; cloud infrastructure providers for hosting; analytics services to improve the platform; OpenAI when you consent to AI features (chat messages and necessary HR context are sent to OpenAI to generate responses); and legal authorities when required by law. All third-party providers are bound by data processing agreements that ensure the protection of your data in compliance with GDPR.

Under GDPR and applicable data protection laws, you have the right to: access your personal data, rectify inaccurate data, request deletion of your data, restrict processing of your data, data portability, object to processing, and withdraw consent at any time. We use essential cookies necessary for the functioning of the Service, such as authentication tokens and session identifiers. We may also use analytics cookies to understand how the Service is used.
